We are currently looking for:

– A Personal Assistant to the General Director

We are seeking a highly organised and efficient individual to join our team. The ideal candidate will be proactive, with strong communication and analytical skills, to fill this role. They will also feel comfortable working in a high-pressure office environment. They will provide comprehensive administrative and logistical support to the General Director, ensuring smooth operations of both professional and personal affairs. This role requires impeccable communication skills, discretion, and the ability to handle confidential information with tact and integrity.

Objectives of this role

  • Provide administrative support to the GD as needed
  • Ensure GD’s correspondant/client satisfaction with timely communications
  • Coordinate Management activities to ensure organised and efficient workflow

Main Responsibilities

  •  Manage and coordinate the GD’s schedule, including scheduling appointments, meetings, and travel arrangements
  • Act as the primary point of contact for the GD, screening and prioritising emails, calls, and other correspondence
  •  Maintain organised files, documents, and databases, both physical and digital, ensuring easy access to relevant information
  •  Coordinate tasks and projects on behalf of the GD, liaising with internal and external parties as necessary
  •  Assist in planning and organising events, both professional and personal, from small meetings to larger gatherings
  •  Conduct research on various topics as needed, providing summaries and relevant information to aid decision-making
  •  Handle sensitive information with the utmost confidentiality and discretion
  •  Providing administrative and secretarial duties

Skills and qualifications

  • Bachelor’s degree in a related field or equivalent experience
  • Native or native-like proficiency in English (C2) with a good command of French (B2/C1)
  •  Excellent verbal and written communications skills
  •  Experience working alongside others and offering support to achieve shared goals
  •  Experience in an office environment
  • Ability to handle multiple tasks while properly prioritising urgent and high-impact work
  •  Ability to think proactively and show initiative
  •  Ability to exercise discretion with sensitive information, including client and employee data
  •  Extensive experience in creating documents and spreadsheets, using office software such as MS Word, Excel, and PowerPoint. Google docs, doodle etc.
  •  Exceptional interpersonal skills.
